# Check in attendees and vendors with the mobile app

> Scan ticket QR codes, check in whole orders at once, look up guests by name, hand out add-ons, and check vendors in with their vendor pass.

Use host mode in the [Treasure Events app](https://docs.ontreasure.com/features/mobile-app.md) to get people through the door. Everything here needs a role on the event. See [Team](https://docs.ontreasure.com/hosts/team.md).

## Scan tickets

**1. Open the scanner**

Tap the **Scan** tab, or open your event and tap **Scan Tickets**. The **Scan** tab opens the scanner for an event happening today.

**2. Scan the QR code**

Point the camera at the ticket QR code on the guest's phone or printout. The app reads it automatically. Tap the screen to focus if the code is hard to read.

**3. Check the guest in**

The app shows the guest's name and ticket. Tap **Check In**.

If the ticket can't be checked in, the button tells you why:

| Message | What it means |
| - | - |
| **Already Scanned** | The ticket was already checked in today. The app shows when. |
| **Day Limit Reached** | The ticket has been used for all the days it covers. |
| **Not Valid for Today** | The ticket is for a different event date. |
| **Starts at** a time | Scanning for this ticket type hasn't started yet. See [Scan settings](#set-scan-start-times). |
| **Ticket Not Found** | The code isn't a valid Treasure ticket. |

### Check in a whole order

When a guest's code covers several tickets, the app shows **Total Tickets**, **Valid Today**, and **Already Checked In**. Choose one of:

* **Check In One** to admit one person now.
* **Check In All** to admit the whole group.
* **Select Individual Tickets**, then pick the tickets to check in.

### Multi-day events

Each ticket is set up one of two ways: **Valid on specific dates**, with one scan per date, or **Single use across the event**, with one scan on any event date. The scanner checks it against today's date. Once a guest has used their ticket up, it shows **Day Limit Reached**.

> [!NOTE]
>
> The scanner uses your phone's date to decide what "today" is. Make sure your phone's date and time zone are set correctly.

## Look up guests by name

If a guest can't show their QR code, open your event and tap **Attendees**. You can also tap **Tickets** on the scanner's bottom bar.

* Search by name, email, or phone.
* For multi-day events, pick the event date at the top.
* The list shows **Checked In** as a count out of the total.

Tap **Check In** on a guest's row. The button changes to **Checked In**. Tap it again to check them out if you checked in the wrong person.

## Hand out add-ons

Open your event and tap **Add-ons** to track merch, parking passes, and other add-ons. Search by name, email, phone, or add-on, and filter by **Not picked up**, **Out**, or **Done**.

How you hand out each add-on depends on its type:

* **Redeem**: the guest keeps it. Tap **Redeem** when you hand it over.
* **Check out and return**: the guest borrows it. Tap **Check Out** when you hand it over and **Check In** when they bring it back.

To change an add-on's type, open **Add-on settings** and turn **Track returns** on or off. If you tap the wrong button, use the undo option on the guest's row.

## Set scan start times

Open your event and tap **Scan Settings** to choose when each ticket type can start scanning, for example to hold general admission until doors open while VIPs get in early. Ticket types without a time show **No restriction**.

> [!WARNING]
>
> Scan settings are saved on the phone where you set them, not on your event. Set them on every phone your team scans with.

## Check in vendors

Vendors arrive before the doors open to set up. You can check them in by scanning their vendor pass or from the vendor list. Vendor check-in is per event day, so on a multi-day event you check vendors in each day.

### Scan a vendor pass

Each accepted vendor has one QR code for all their tables at the event, in the **Tickets** tab of the app under **Tables**. Scan it with the same scanner you use for tickets.

The app opens the vendor's details: contact info, inventory, tables, table assignments, payment status, and your host notes. It shows **Already checked in today** or **Not checked in today**. Tap **Check in vendor today**.

If you see **Vendor not found for this event**, check that you opened the right event before scanning.

### Use the vendor list

1. Open your event and tap **Vendors**.
2. Find the vendor with **Search for vendor**, or on the venue map if your event has one.
3. Tap **Check In** on their row. The button changes to **Checked In**. Tap it again to undo.

Tap a vendor to see their **Table Reservations**, **Section**, **Phone**, **Payment**, and **Add-ons**. The list refreshes on its own, so your whole team sees check-ins as they happen.

Vendor check-ins also show on the **Vendors** page of your web dashboard. See [Vendor management](https://docs.ontreasure.com/hosts/vendor-management.md).

## Let walk-in guests join Treasure Hunt

Guests who pay at the door, or otherwise don't have a Treasure ticket, can still request cards from your vendors. Open your event and tap **Treasure Hunt Check-in QR**, then show the code at the door or tap **Share link**. Guests who scan it during the event become attendees in Treasure Hunt. See [Treasure Hunt](https://docs.ontreasure.com/features/treasure-hunt.md).

The **Treasure Hunt Check-in QR** is available to hosts, co-hosts, and staff, not scanners. You can also download it from **Social Media → QR Codes** on the web. See [Social media tools](https://docs.ontreasure.com/features/social-media.md#print-qr-codes).
